Managing WMS+ User Licenses and SAP Business One Authorizations
SAP Business One controls user access through licenses and role-based authorizations. WMS+ builds on this by assigning access to specific operational modules (Warehouse, DSD, Production) within a single named-user license and managed in the WMS+ Admin Panel. Correct setup protects data, limits risk and keeps daily operations running smoothly.
License Types and When to Use Them
Every SAP Business One user must have a valid license that defines their system access. Licenses are assigned according to job responsibilities:

Note: Each WMS+ user must have an active WMS+ User License. If a user logs in from a second device, the original session will be automatically closed in accordance with the Softengine End User License Agreement.
Role-Based Authorizations
User authorizations define what each user can view, edit or execute within SAP Business One. These permissions are managed in Administration → System Initialization → Authorizations → General Authorizations and control access to:

For WMS+ to function correctly, ensure users have authorization to:
Access relevant SAP Business One menus (e.g. Inventory, Sales, Production).
Create and update documents such as Goods Issue, Inventory Transfer and Delivery.
Access required warehouses or bin locations.
Properly configured authorizations allow:
User Roles & Restrictions: Limit access based on responsibilities.
Approval Procedures: Enforce managerial oversight on key transactions.
Audit Logs: Track changes to sensitive data for compliance.
WMS+ License Assignment and Module Access
A WMS+ license is assigned to each user via Admin Panel → Common Configuration → License Management. The Licensed Modules Overview section shows available licenses for DSD, Production and Warehouse, with a green bar indicating availability. The User Assignments section lists users with dropdowns in the Licensed Modules column.
Module access limits each user to the workflows relevant to their role, reducing confusion and supporting process control.
On the License Management screen, admin users can:
Check Availability: Perform a visual check in the Licensed Modules Overview section at the top of the screen. A green bar to the left of a module field indicates that licenses are available. The Total Licenses Available count for each module (e.g., DSD, Production and Warehouse) shows the current remaining licenses.
Assign or Unassign a License: In the User Assignments section, search for a user's name in the search field or scroll down the list to locate them. Once the user is found, click on the dropdown menu in their Licensed Modules column, and then click to select a module to assign it or deselect a module to unassign it.
Save Changes: After assigning or unassigning licenses, click the floppy disc icon in the top right corner to save your changes.
Monitor Usage: License assignments automatically update the Total Licenses Available count in the overview, providing up-to-date monitoring.
Module-based licensing ensures operators only see workflows relevant to their role.
User Setup & Access Control Workflow
The following table outlines the workflow for setting up users and controlling their access within WMS+ and SAP Business One.

Note on User Types: WMS+ supports both named users for traceability and generic users for shared devices or warehouse zones. Password policies and session limits follow SAP Business One rules. WMS+ cannot override SAP Business One account status or unlock users.
Managing WMS+ Administrative Access
Administrative privileges in the WMS+ Admin Panel are managed separately from module licenses. Admin users can configure system settings, manage users and access sensitive functions.
To configure admin users, go to: Admin Panel → Common Configuration → Admin Users Management.
On the Admin Users Management screen, administrators can:
Grant admin access by clicking Grant in the Admin Access column. To revoke access, click Reject.
Enable Two-Factor Authentication (2FA) by checking the Enable 2FA box at the top.
Administrative access allows full control of WMS+ system settings, including user setup, label logic and document flow. Grant this access only to trusted system administrators.
